Plus Days Tracking for Term Time Only Employees

Background / Problem Statement

As an organisation supporting schools, we frequently hear from customers that there is no effective way to log, track, and report on “Plus Days” (additional working days required of Term Time Only staff outside of term time).

Customers report:

  • No reliable way to see whether employees are fulfilling their plus day commitments

  • Manual tracking methods that are inconsistent and error-prone

  • Previous attempts by other providers (e.g. SAMpeople) were clunky and unsuccessful

  • A belief that the lack of oversight leads to missed commitments and unnecessary cost to schools and taxpayers

There is a clear opportunity to deliver a market-leading, purpose-built solution that provides transparency, accountability, and proactive management of Plus Days.


Primary User Story

As a school HR administrator
I want a clear and auditable way to record, track, and monitor Plus Days for Term Time Only employees
So that I can ensure contractual commitments are met, identify risks early, and take action where required (including pay deductions if necessary).


Secondary User Story (Employee View)

As a Term Time Only employee with Plus Days
I want to see how many Plus Days I am contracted to work and how many remain
So that I can proactively book days, manage my commitments, and avoid issues later in the year.


Functional Overview / Feature Concept

1. Recording Plus Days (Employee Record)

  • Plus Days are recorded at employee level within Job Information

  • Only applicable to Term Time Only employees

  • Field appears when Contract Type is toggled from All Year Round to Term Time Only

  • Plus Days field replaces or occupies the space currently used by Paid Leave in this context

Acceptance Criteria

  • Plus Days field is hidden for:

    • Teachers

    • All Year Round employees

    • Term Time Only employees with no Plus Day requirement

  • Plus Days value is reportable and auditable


2. Plus Days Tracking (Absence / Leave Area)

  • When Plus Days are populated on the employee record:

    • A new Plus Days Tracking section appears in:

      • Absence Records

      • “My Leave” (employee self-service)

  • Works similarly to holiday entitlement:

    • Total Plus Days

    • Days used

    • Days remaining

  • Approved working days outside of term time automatically deduct from remaining balance

Acceptance Criteria

  • Plus Days Tracking is only visible when relevant

  • Approved entries reduce remaining balance automatically

  • Employees can view their balance and plan ahead


3. Visual Alerts & Proactive Management

  • Configurable system setting to highlight risk as the year progresses

  • Colour indicators for remaining Plus Days:

    • Green – on track

    • Amber – approaching deadline / limited time remaining

  • Enables early intervention rather than end-of-year issues

Acceptance Criteria

  • Colour thresholds are configurable at school level

  • Visual indicators update automatically based on time and balance


4. Administrative Oversight & Action

  • Schools can:

    • Report on Plus Days across individuals or groups

    • Identify employees who are unlikely to meet commitments

    • Chase employees proactively

  • If commitments are not met:

    • Data supports salary deduction or formal follow-up

Acceptance Criteria

  • Plus Days data is included in reporting

  • Clear audit trail of entitlement, usage, and remaining balance
